When a family is owed money back, you have two options: refund it to the way they paid, or keep it as a credit they can use against what they owe.

Refund a payment

  1. Open the camper’s record and go to their payments, or find the payment in Finance, Transactions.
  2. Select Refund on the payment.
  3. Choose a full or partial refund. The dialog shows the original amount, anything already refunded, and what is still available to refund.
  4. Pick a reason, add a note if it helps, and confirm.

The money goes back to the card or bank account the family paid with. Stripe usually takes 5 to 10 business days to return it to a card.

Add a credit instead

A credit keeps the money with your camp and lowers what the family owes. Open the family’s ledger from Finance, then Add credit, and enter the amount and a reason. The credit applies to the family’s balance across their campers.

Credits are a good fit when a family is moving to another session or wants the money held for next season.

Good to know

  • A refund made directly in your Stripe Dashboard still shows up in CampRunner, because CampRunner reads refunds from Stripe itself.
  • You can refund part of a payment and refund more later, up to what is left.
  • Financial aid awards are posted to the family ledger as a credit automatically.
